Times of uncertainty means that things will have to change. As a professional service provider, you may need to change the engagement you have in place with your clients. As a user of Practice Ignition, we’d like to share with you some ideas about how you can help your clients right now (and how to make those changes quickly and easily in your PI account). 

If your clients are suspending operations or won’t need your services for a short time period, you can simply pause collections by disabling payments on each of your proposals. This will still allow any invoices to generate as usual, but you can manually collect payment at the convenience of you and your clients.

To do this, search and select the proposal in question. Once you are in the active proposal, click on the Invoices and Payments tab. On the right-hand side you’ll see a link to Manage Payments. 

Select arrange payments manually. This will disable any future automatic payments. 

Any recurring invoices will continue to generate (though, if you don’t want them being created in Xero or QuickBooks Online, you can switch them off from the Invoices and Payments screen too).

Make sure you set yourself a task or reminder to turn payments back on (or at least review if you should!). Then, repeat the above steps for all the proposals which you'd like to disable payments for.

When things go back to normal and you are ready to start collecting again, just follow the instructions above but choose the payment method instead. Once you do that, all future recurring invoices will be automatically collected, plus the ability to collect for on-completion services will resume. 

Pausing payments but continuing work?

If you are in the fortunate position where you can continue to work on services for your clients, but you can afford to take the cash flow hit on behalf of your client, first of all, massive kudos to you for thinking about your clients first!

At some point in the future, you will need to collect the payment for the work you’ve completed and invoiced for. Simply follow the instructions above and once you do know when you can go back and collect on past invoices, click on the cog icon next to the invoice you wish to collect payment for and click Schedule Payment Collection. You can choose to collect the payment today or a custom date in the future.
